“GetThere” Online Booking Helpful Hints:

  • Please make all Travel Profile changes through the “GetThere” Online System

  • Travelers can book PERSONAL travel Online and take advantage of Tesoro/CTP Corporate Negotiated Rates for Air, Car, and Hotels


  • DO NOT add your Southwest Frequent Flyer Number under “Frequent Traveler Programs”


  •     • Add your Southwest FF # in the “General Request or Special       Needs” box located in PROFILE => Personal Information
        • Southwest Airlines Code is “WN”. Please DO NOT REMOVE this       information if you see this in your profile.
  • Please make sure that you have a Credit Card selected in the “Payment Settings” under PROFILE => Charge Card Settings. Remember to select appropriate Charge Card at the Purchase Information page before purchasing itinerary (i.e. Business Travel Card vs. Personal Card)


  • You CAN add Hotel and/or Car to an existing Air Reservation via MY TRIPS => Add Item


  • You CANNOT add Air Reservations to an existing Hotel and/or Car reservation via Online. You must call a CTP Agent or create a separate online transaction.


  • You CANNOT change Air Reservations via Online Booking System. Please call a CTP agent to make any changes to Air Reservations.


  • If you make a reservation Online and need to add an additional person (i.e. spouse, kids) please call an agent and give them the Record Locator for that particular itinerary and the name of the additional person traveling with payment information.


  • Please READ ALL INFORMATION when selecting a Hotel Room Rate, as some Room Rates are Advanced Purchase. If you select an Advance Purchase Room Rate, you will be charged with at least a 1 night stay. Whenever possible, please select Tesoro Preferred Hotel Rates.


  • Hotel Conference and Seminar Rates will NOT be available on “GetThere”. Please call CTP agents or contact Hotel directly to acquire a Conference or Seminar Hotel Rate.


  • If you place a trip on HOLD, note that the system will cancel the trip after 24 hours from the time you placed the trip on hold.


  • Please contact CTP’s Online Support Desk to receive information regarding Travel Arranger access

Q. What can I do to help remember my password?
A. Click on My Account?Account Settings?Forgotten Password Settings. Provide a question-answer that’s personal but easy to remember.

Q. I forgot my “GetThere” password. What do I do?
A. Simply click Forgot My Password on the Login page and answer the Forgotten Password question. You will then be given the opportunity to enter and confirm a new password. If you have never logged into the site, contact CTP’s Online Support Desk 1-877-727-5188.

Q. What if I forget my password and the Forget My Password link on the login page isn’t working?
A. Contact CTP’s Online Booking Support Desk.

Q. What if I need help navigating or booking on “GetThere”?
A. You can access a tutorial on the Home page under Online Tutorial, GetThere User Training, or you can access Help on the top toolbar. Our Online Support Desk can also assist you with your online booking questions.

Q. How do I update my User Profile?
A. Update your personal information and travel preferences under My Account. Just select the appropriate link to view/modify your user profile and/or personal information.

Q. Do I have to contact CTP when I update My Account online?
A. No, all changes made online to your user profile in My Account will automatically update with the profiles used by CTP.

Q. When is my booking made on Online actually (ticketed)?
A. After you hit the Purchase Button, CTP reviews the booking and issues the ticket. You will receive 2 confirmation emails from CTP. The first email is a “Booking” confirmation and confirms you booked with CTP. The 2nd email is the actual “Ticketing” confirmation, via “Virtually There”, this email confirms your reservation has been ticketed.

Q. How do I know CTP has received my online booking?
A. You will receive the “Booking” confirmation email. Your Reservation Complete page and email confirmation will indicate that your booking has been made (But Not Ticketed). That information includes a Record Locator that you can provide to the travel agent in the event that you should need to follow-up with them at any point.

Q. Are the fares and rates shown online guaranteed?
A. While your airfare is not guaranteed, the rates you see are the same rates that our travel agency will see. However, no fare is guaranteed until actually “ticketed”.

Q. How do I cancel or change an online booking?
A. Call CTP’s Online Support Team or contact any of Tesoro’s Dedicated Agents.

Q. How do I handle a refund for an online booking?
A. If you have an unused ticket, it is important that you notify CTP so that a refund may be obtained if applicable.

Q. How do I access airplane seat maps to choose my seats?
A. Once your flight choices have been made, you will automatically be taken to Seat Selection for all the flights in your itinerary. Premium seats are only available for qualified travelers.

Q. How do I easily find a hotel at my destination?
A. You can search by *Preferred Properties, address, hotel chain, hotel name or reference point. Reference points allow you to search for hotels close to company locations, convention centers or airports. It’s possible that the hotel you want may be sold out or Tesoro’s Preferred Rate is Not Available. In this case, please select another Preferred Property that offers Tesoro’s Negotiated Rate.

Q. Where do I find the hotel confirmation number?
A. Upon completion of an online booking, most hotels will provide a confirmation number that will appear on the Reservation Complete page or on the itinerary shown in VIRTUALLY THERE. If the hotel does not provide a confirmation number, then CTP will confirm the reservation with the hotel directly and contact you.

Q. How do I add a hotel or rental car to an online Air reservation?
A. It’s best to book your air, hotel and rental car before you confirm and purchase your itinerary online. You can add a hotel or rental car by accessing your reservation from “My Trips” and selecting the “Add Item” option. However, you can always contact CTP to make any changes or additions.

Q. How do I access and display a booking that I have already made online?
A. Click on My Trips. It lists all your previous reservations booked online, including past, present and cancelled trips. Please remember travel reservations made or changed with a Live Agent will NOT appear online.

Q. I frequently travel to the same destination, stay in the same hotel and rent the same car. Is there an easy way to book this trip?
A. Yes, you can create a Trip Template from any current or previous booking. Then you can access your saved templates from “Trip Templates” and simply enter your new dates of travel and then confirm the final itinerary.

Q. What if I travel into one city and return from another city? Can I book that online using “GetThere”?
A. Yes, simply select Multiple Destination under Trip Type on the Begin Search page. Indicate whether you “will fly” or “don’t need transportation” to the various cities required for your trip.

Travel Arrangers:  GO TO TOP

Q. How can I get set up as a Travel Arranger, designated to book travel for other Tesoro employees?
A. Please contact CTP’s Online Support Desk for further assistance.

Q. How can an Arranger book a trip for a Traveler?
A. Make sure you are established as an approved Arranger for that Traveler, login as yourself and select the Traveler from the “Arranging Travel For” drop down box at the top of the Home page and book their trip.



User Profiles:  GO TO TOP

Q. How do I update my travel profile?
A. Access “MY ACCOUNT” tab from the navigational bar at the top of the page. Please click the “SAVE” button after any changes are made and before exiting the system.

Q. I have updated my travel profile information using the Online Booking System. Do I have to call CTP and provide them with the same information?
A. No, all profile updates/changes are automatically updated in CTP’s system.

Q. Can I call CTP to update my profile if I build it online?
A. Please make all profile updates and changes through the Online Booking System. An agent can make “temporary” changes for a single reservation, however permanent or long-term profile changes should be made through the Online Booking System.

Q. I am a "TRAVEL ARRANGER". How can I update the profile of a person that I am planning a trip for?
A. Please contact that specific individual and have them change their profile online.

Q. Is my credit card and personal information secure?
A. YES! The data is transferred to the vendor on a dedicated line and all information is encrypted using SSL.

Q. Will my password expire?
A. No, but we encourage you to change your password every 90 days along with the other passwords you have setup with your company.

Q. How do I change my password?
A. From the navigational bar click on “MY ACCOUNT” you will see a link that says “CHANGE PASSWORD”, enter your New PASSWORD AND REENTER PASSWORD again. Click on the “SAVE” button and this will save it.

Q. Is the website case sensitive?
A. Yes. Please remember all Usernames are lower case.



Reservation and Ticketing:  GO TO TOP

Q. When my reservation is made online, how long does it take before I am ticketed?
A. Normally, CTP will issue your Ticket Confirmation within 24 hours, via “VIRTUALLY THERE email, unless otherwise noted.

Q. Is my airfare guaranteed after completing my reservation?
A. No. Remember NO Airfare is guaranteed until Ticketed.
